We need a new database to cope with our ever increasing membership, and also to allow us to categorise members and associates and target our contact accordingly. This will help us to streamline our communication and identify useful contacts and potential donors.

    Situation

ECHO has grown from a very small charity to a highly successful and highly effective organisation in the last nine years. Our membership database has grown from 500 to 750 families in the last two years alone. However, our current database does not now match our needs in terms of adaptability and we are desperate to purchase a new system which will allow us to not only to improve our communication with members (for example allowing members' children's birthdays to be diarised and to alert us on their 11th birthday in order that an invitation can be sent to them to join our ECHO Teen Club), but also to identify and target potential new volunteers, donors and other types of assistance or association which might be of benefit to the organisation. We have looked into potential database systems and have identified a suitable one which would cost our organisation approximately £5700, which would include the use of their servers (thus allowing us to have remote access), one licenced full user and password protected access for up to five authorised users.
